Overview

Stylist/Studio Coordinator

 

The Stylist/Studio Coordinator is responsible for the reception, merchandise coordination and administrative duties as well as providing superior styling for all photography, both on and off figure, as well as props, on-form and lay downs. Additional responsibilities include prepping merchandise, collaborating with Producer and Photographers, working closely with a variety of client representatives to achieve razor sharp, brand focused imagery.

Responsibilities

Reception

  • Open the studio each day at 8:30am. Prepare studio for the day: make coffee, empty dishwasher, clean up common areas.
  • Answer and direct incoming calls
  • Greet and direct visitors/clients/freelancers
  • Receive/track/distribute incoming and outgoing shipments
  • Label and ship for studio, clients and freelance associates
  • Sort incoming and send outgoing mail
  • Review and process all incoming invoices
  • Track and maintain studio supply: replenish studio supplies as needed including drinks, snacks and general office supplies, make trips outside the studio as needed
  • Keep supply cabinets and closets neat and organized
  • Maintain studio’s overall aesthetic, including plants and main areas, like reception, front hallway, conference room, lounge, kitchen, bathrooms, etc.
  • Clean up the conference room after meetings or meals. General clean up at the end of each day, taking out trash daily.
  • Keep studio areas clean and tidy after photo shoots.
  • Oversee a rotation of studio artwork for general décor.
  • Maintain relationships with vendors related to the general operations of the studio: phone, electrical, janitorial, water, linens, craft services, trash & recycling, messengers, etc.
  • Support the studio as a whole in the absence of the Studio Manager.

 

Merchandise Coordination

  • Merchandise coordination and shot list management
  • Enter and update database for all products received and used in photo shoots
  • Gather, track, and maintain all product samples throughout photo shoots
  • Work closely with teams on set to acquire products needed for photo shoots
  • Interact with the post-production team in moving products or changing deliverables
  • Organize, pack, ship, and receive samples and other related props and supplies to and from photo shoots
  • Organize, and in some cases, import shot lists. Check in product once imported. Also, generate and follow through with discrepancy lists after import
  • Organize and maintain the inventory within the sample/prop area
  • Provide merchandise status reports and tracking
  • Facilitate the prompt return of all samples/props to place of origin
  • Assist producer in maintaining project integrity for the clients

 

Styling

  • Responsible for styling to effectively achieve clients’ desired creative output.
  • Assist the Producer in maintaining the project integrity for the clients
  • Organize and maintain the Prop Closet, keeping it organized and efficient.
  • Communicate new or refreshed prop needs to Producer
  • Work in collaboration with Producer to schedule and manage project crew – booking talent and models in conjunction with the Producer and distributing call sheets/schedule emails
  • Assist on model castings – collecting model cards, recording attendance, creating contact sheets, organizes galleries and tracking imagery on the server

 

Administrative Assistant

  • Maintain studio Mailing List (Data Entry in PRM).
  • Data entry from various people/departments into various studio databases.
  • Generate weekly reports as needed.
  • Organize and copy receipts and invoices of studio expenses.
  • Coordination and arrangement of studio meals and snacks. Overseeing catering setup and cleanup for all events, studio tours, and photo shoots.
  • Act as support to staff, clients and freelance associates as requested, such as generating shot lists, filing, sending faxes, labeling envelops, etc.
  • Merchandise coordination (Storing, moving and packing up boxes).
  • Coordinate studio parties and events.
  • Special projects as requested.

Qualifications

  • 2 years at an accredited University
  • Excellent people skills
  • Data entry and Excel experience preferred
  • Familiarity with commercial photography studio or related business
  • Detail oriented, organized, able to manage multiple projects
  • Reliable with the ability to adapt to changing conditions
  • Ability to work under pressure in deadline-driven environment
  • Highly organized with exceptional attention to detail
  • Ability to prioritize/multi-task and follow projects through to completion
  • Strong oral and written communication skills
  • Team player
  • Experience with styling of photography on-set
  • Comfortability with all types of animals
